1. What We Collect

  • Account data — name, email, role, phone number, and hashed password for platform users.
  • Customer and order data — names, contact details, delivery addresses, requested items, estimates, invoices, and payment records (method, amount, reference — never full card numbers).
  • Delivery records — route details, delivery photos, signatures, and optional GPS coordinates captured as proof of delivery.
  • Communications — messages exchanged through connected channels (e.g. WhatsApp) and emails you connect through Gmail, used to create and track orders.
  • Technical data — logs, IP addresses, and audit trails of significant actions, kept for security and compliance.

2. How We Use It

To operate the dispatch lifecycle: intake, estimating, scheduling, routing, delivery, invoicing, payment tracking, and reporting; to secure the Service (authentication, audit logs, abuse prevention); and to provide integrations you explicitly connect (QuickBooks, Google Calendar/Gmail, WhatsApp, Stripe, cloud storage).

3. Sharing

We do not sell personal information. Data is shared only with service providers needed to run the platform (hosting, database, file storage, error monitoring, payment processing) and with integrations you connect. Each provider processes data under its own terms and appropriate safeguards.

4. Security

Data is encrypted in transit (TLS) and at rest by our infrastructure providers. OAuth tokens are additionally encrypted at the application layer (AES-256-GCM). Access is role-restricted and tenant-isolated; significant actions are audit-logged.

5. Retention

Business records (estimates, invoices, payments, proof of delivery, audit logs) are retained while your organization's account is active and as required for legal, tax, and accounting purposes. On account closure we delete or anonymize personal data within a reasonable period, except where retention is legally required.

6. Your Rights

Depending on your jurisdiction you may have rights to access, correct, export, or delete your personal information. Requests can be made through your organization's administrator or the business contact on your invoices; we will respond within the timeframe required by applicable law.

7. Changes

We may update this policy; material changes will be notified through the Service. The "Last updated" date reflects the current version. See also our Terms of Service.
